Track when prospects watch your videos and trigger automations
Overview
This integration allows you to automatically log a video view in HubSpot whenever someone watches your Videolink video.
While Videolink already sends email notifications for views, this Zap lets you:
- Track engagement directly inside your CRM
- Attach video views to contacts and companies
- Trigger follow-ups, workflows, and sales automations
Perfect for Sales teams sending demos, walkthroughs, or personalized videos.
How it works
- You send a Videolink video to a prospect
- The prospect watches the video
- Zapier detects the view event
- A note is automatically created in HubSpot
- The activity is attached to the contact
Requirements
- Zapier account
- HubSpot Sales Hub
- Videolink account
Step-by-step setup
Step 1: Create a new Zap
In Zapier, click Create Zap.
Step 2: Set the trigger (Videolink)
- App: Videolink
-
Trigger event:
Video Viewed
This trigger fires every time someone views your video.
💡 If the viewer exists in your HubSpot CRM, the activity will be associated with that contact (via email).
Step 3: Create engagement in HubSpot
Add a new step:
- App: HubSpot
-
Action:
Create Engagement
Step 4: Configure the engagement
Fill in the fields as follows:
Engagement Type
Note
Note Body
Use this structure:
Videolink View: {{Video Title}}
Videolink URL: {{Video URL}}This ensures your team can quickly understand what was viewed.
Associate with Contact
-
Emails of the contact objects:
→ Map Viewer Email
This is critical – it links the video view to the correct contact in HubSpot.
Step 5: Test and publish
- Click Continue
- Run a test with a real video view
- Confirm the note appears in HubSpot under the contact
- Click Publish Zap
Example workflow
- Sales rep sends a demo video via Videolink
- Prospect watches the video
- HubSpot logs:
Videolink View: Product Demo – Dashboard Overview
Videolink URL: https://app.govideolink.com/video...
- Sales rep sees activity and follows up at the right moment
Why this matters
This setup gives your team:
- Real-time insight into prospect engagement
- Better timing for follow-ups
- Visibility into what content was viewed
- A trigger for automation (e.g., “watched demo → send email”)
Automation ideas
Once this is set up, you can:
- Trigger a follow-up email when a video is viewed
- Notify a sales rep in Slack
- Move deals to the next stage automatically
- Score leads based on video engagement
