Folders help you organize related videos and streamline sharing with your team. Instead of managing access on individual videos, you can group videos into folders and share the folder with the right people.
How to use folders?
Folders can help you organize videos by project, team, customer, training program, or any other category that fits your workflow.
Examples:
- Bug reports
- Customer onboarding videos
- Internal training materials
- Product updates
- Team recordings
- Sales demo
When a folder is shared, everyone with access to the folder automatically has access to all videos stored within it.
Create a folder
To create a new folder:
- Go to the Videos dashboard
- Click + New Folder
- Rename it
Your new folder will appear in your dashboard and is ready to store videos.
Add videos to a folder
You can move existing videos into a folder or save new recordings directly to one.
To move a video:
- Click the ⋮ icon on a video in your dashboard
- Select Move
- Choose the folder you want to store it into
The video will immediately inherit the folder's access permissions.
To remove a video from a folder or to move it to another folder, click the ⋮ icon on the video inside the folder, then select Dashboard in the modal, or the folder you want it to be stored in.
Record a video inside a folder
You can record a new video directly from the folder page, it will be stored there automatically.
To record a video inside a folder:
- Open the folder
- Click + Record video
- Record and save your video
- The video appears inside the folder
The video will immediately inherit the folder's access permissions.
To remove a video from a folder or to move it to another folder, click the ⋮ icon on the video inside the folder, then select Dashboard in the modal, or the folder you want it to be stored in.
Share a folder
Sharing a folder is the easiest way to give people access to multiple videos at once.
To share a folder:
- Locate the folder in the dashboard
- Click the ⋮ icon
- Select Share
- Add email addresses
- Set permission status: editor, owner or viewer
- Click Save & Send
Anyone with access to the folder automatically gains access to every video inside that folder. Viewers can only view the videos inside that folder, but cannot add videos to it or remove videos from it. They cannot also not share or delete the folder.
How folder permissions work
Folder permissions are synchronized with the videos they contain.
Folder → Video Access
When a user is granted access to a folder:
- They automatically receive access to all videos inside the folder.
- Any videos added to the folder later will also be accessible to them.
However, when a user is granted access to a video which is inside a folder:
- They only get access to the video itself, but not to the rest of the folder
Example:
If Sarah is added to the "Customer Training" folder, she can view every video stored in that folder without needing separate video permissions. But if Sarah is added to the video “New hires” which is inside the “Customer Training” folder, she won’t have access to the other videos inside that folder.
Video → Folder Access
Permissions are also enforced in the opposite direction.
If a user is removed from a video that belongs to a shared folder:
- The user is automatically removed from the folder.
- They lose access to all content within that folder.
This ensures that folder and video permissions remain consistent and prevents conflicting access settings.
Example:
If Sarah is removed from a video inside the "Bug reports" folder, she will also be removed from the folder and lose access to the other videos it contains.
Folder linked to a Request page
Every Request page is linked to a folder. When someone submits a recording through a request page, the video is automatically saved to its linked folder, making it easy to keep related recordings organized.
If you'd like to change the destination folder, simply click the folder tile and select a different folder.
Best Practices
- Create folders for projects, departments, or customers
- Share folders instead of individual videos
- Use folder permissions to manage access at scale
- Review folder members regularly to ensure the right people have access
Things to Know
- Users with access to a folder automatically have access to all videos within it
- Videos added to a shared folder inherit the folder's permissions
- Removing a user from a video inside a folder removes them from the folder as well
- Folder and video permissions remain synchronized to ensure consistent access control
